1.1.1 The purpose of this register is to prevent an inmate from being incarcerated for longer than the
period for which his/her warrant is valid. Two separate G369 registers (depending on the type
of inmate incarcerated) must be used, viz. a register which records. The court dates in respect
of remand detainees and sentenced inmates with further charges the release dates of
sentenced offenders or the approved placement dates for correctional supervision/day
parole/parole, as applicable.82All G369 registers must be checked daily, with a view to planning
and organising the following day’s activities. Factors that affect an inmate’s court
date/placement/release date must immediately be taken into account, the inmate’s name must
be neatly crossed out in the G369 register, the relevant code (reason) must be noted next to it,
and his/her particulars must be entered next to the new date.
All new entries and amendments made in the two G369 registers, together with the warrants or
other relevant documentation that authorises the amendments, must be presented on a daily
basis to the head of the correctional centre or a member designated by him/her in writing, for
checking purposes. In the case of a member being designated by the head of the correctional
centre to do the checking, written authorisation must be affixed in the front of the G369 register
for inspection purposes.
The member of staff who makes the entry, and the person checking it, must put their initials
next to each entry/amendment as confirmation that it is correct.
G369 registers may also be further subdivided at correctional centres that handle few move-
ments in order to make provision for releases for more than two (2) successive years.
