For centuries, in one shape or form, affidavits have been used as key tools for the
presentation of facts in a judicial case. It is the fundamental way one can present evidence (facts
of the case) to a court. The document must be sworn, or affirmed, usually before a Justice of the
Peace, Commissioner of Oaths or solicitor, as a true record. Affidavits may also be sworn by
other people in support of your case e.g. witnesses. That is why it is very important to have a
secure and credible way of obtaining information for an affidavit, as it can contain very sensitive
information about the defendant and accused alike.
XYZ Police Department employed a very basic, insecure, and outdated platform. We
demonstrated a basic outline of how the system worked.
The system, in its totality, was located on a single desktop operated by the front desk
clerks of XYZ Police Department. The program and records were accessible by anyone with
access to the front office. It employed a collection of typed Word Perfect documents, which were
in turn controlled and populated by outdated macros written by a former employee that is no
longer with the department. The clerk was required to sort through a file containing these
documents to find the correct one for an offense. Then in turn, navigate through a series of pop
up boxes in order to fill in the necessary information. After the information was obtained and
placed in the document, it was simply printed and hand delivered to the necessary destinations.
So, as could be clearly seen from that short outline, the outdated system clearly lacked
much needed security and also data storage capabilities. Not to mention, the transference of
information between departments could be compromised itself. Information could have fallen
into the wrong hands or be completely lost all together.
The ability to provide XYZ Police Department with a new data entry system, that will
increase security, provide document storage, interdepartmental communication, and easy to
implement, update, and use was a major rationale for proposing the new affidavit system. An
